Terms of service

These terms cover your use of Self Strata, a platform that helps Queensland bodies corporate self-manage under the Body Corporate and Community Management Act 1997 (Qld). By creating an account or accepting an invitation to a scheme, you agree to them.

What Self Strata is — and isn't

Self Strata is record-keeping and administration software. It prepares documents, tracks votes and deadlines, and reminds committees of statutory timeframes — but it is not legal advice, and it does not replace the committee's legal responsibilities. The body corporate and its committee remain responsible for every decision, notice and record, including checking that generated documents suit their circumstances. Where the app flags a governance concern (for example a quorum shortfall), it advises; it does not decide.

Your account

Keep your sign-in details to yourself. You are responsible for activity under your account. Committee members must only grant access consistent with their scheme's obligations, and must remove access when someone sells their lot or leaves a role.

Your content

Your scheme's records belong to the body corporate, not to us. You grant us only the licence needed to store and display them to the people your committee authorises. Don't upload material that is unlawful, infringes someone else's rights, or contains malicious code.

Data use, sharing & cross-scheme visibility

By accepting these terms you consent to the following, which is how the platform necessarily operates:

(a) Use. We collect and use scheme and account data to provide, secure, support and improve the platform — for example to generate documents, deliver notices, calculate levies, and operate features you invoke (including AI-assisted features, whose inputs are processed by our AI service providers solely to produce the requested output).

(b) Sharing. We share data only with the service providers needed to run the platform — hosting, database, file storage, email delivery, payment processing and AI processing — each bound to use it solely to provide their service to us, and otherwise only where the law requires or you direct us to. We do not sell scheme or personal data.

(c) Cross-scheme visibility. Certain basic scheme information is visible across the platform by design so shared features work: a scheme's name, locality and plan number may appear where schemes interact (for example the trades directory, where reviews of a tradesperson are aggregated across schemes). A scheme's financial records, levy information, documents, meeting records, the body corporate roll and members' personal details are never visible to other schemes.

Personal information is otherwise handled under our privacy policy. If we materially change this clause we will give notice, and continued use after that notice is acceptance of the change.

Payments

Levy payments are made directly to the body corporate's bank account using the details on each notice — money does not pass through Self Strata. Where card payments are offered (such as certificate fees), they are processed by a payment provider under its own terms.

Body corporate certificates (Form 33).Self Strata prepares and issues body corporate certificates (BCCM Form 33) on the scheme's behalf. The certificate fee charged to the requester is the fee prescribed under the Body Corporate and Community Management Act 1997(Qld). By using the platform to issue certificates, the body corporate agrees that Self Strata retains 70% of each prescribed certificate fee as its service fee for preparing, issuing and delivering the certificate, and remits the remaining 30% to the body corporate's account. The body corporate may stop issuing certificates through the platform at any time.

Availability & liability

We work to keep the platform available and your data safe, but we cannot promise uninterrupted service. To the extent permitted by law (including the Australian Consumer Law guarantees that cannot be excluded), we are not liable for indirect or consequential loss, and our total liability is limited to the amount you paid for the service in the previous 12 months.

Ending use

A scheme may stop using the platform at any time. For 14 days after the subscription ends, the scheme's Documents page remains available to view and download its records (including a one-click export of everything) — statutory record-keeping obligations transfer with the records. After that 14-day grace period, all access to and data of the scheme are restricted and inaccessible. The scheme's data is retained unchanged for one year from cancellation, and reactivating within that year restores the scheme in full; after one year the scheme and its data are permanently deleted. We may suspend accounts that breach these terms, with notice where practicable.
